Rosa and the CRM: from a website enquiry to an organised lead

This guide covers, in writing, what the video "Rosa and the CRM" shows: how an enquiry that comes in through the chat on an agency's website becomes a lead in the RealE_IA CRM, and what the agent decides next. It is for estate agencies.

The demonstration uses fictitious data: Laura Gómez Pérez is an invented buyer and her phone number is a test number.

What Rosa is

Rosa is the artificial intelligence assistant that chats with visitors on the agency's website. Your agency switches her on in Settings › Rosa, and authorises there the websites where she will chat, always with `https://`. She goes on your site with the single line of code shown on that screen, and she also has her own page, `rosa.realeia.app/` followed by your agency's name, that you can use in your social media bio or in a QR code. She can hold a conversation in seven languages: Spanish, English, French, German, Dutch, Italian and Portuguese.

1. Before the chat: the notice

Before typing anything, the visitor sees a notice: that Rosa is an artificial intelligence and not a person, who processes their data, why, and how to exercise their rights, with a link to more privacy information.

On your agency's website, the notice names your agency as the data controller, and RealE_IA as the company that processes the data on your behalf. The address for exercising rights is your agency's contact address. In the demonstration, the test agency carries our own company's details, Delgado Aquino Digital SL, and the address hola@realeia.app: that is why they appear in the video.

If there is no record that the visitor has seen the notice, Rosa does not create the lead and tells the visitor to contact the agency directly.

2. The conversation

The visitor writes what they are looking for. In the video, Laura is looking for a three-bedroom flat near San Juan beach, up to €300,000.

Rosa asks, a little at a time, for what frames the search: area and budget, timing and, for a purchase, how it will be financed. Laura wants to buy within the next three months and would need a mortgage. Rosa then asks for contact details: name, phone number and email.

3. The enquiry reaches the agency

Rosa creates the lead once she has a name and a way to get in touch: a phone number or an email address. No phone and no email means no lead. If the artificial intelligence fails, Rosa carries on with a simple script and, if the visitor leaves a phone number or an email address, the lead goes through even without a name: in the CRM it appears under a generic name in the language of the conversation, such as "Rosa visitor" ("Visitante de Rosa" in Spanish).

If the email is missing, Rosa asks for it once more. She tells the visitor that she has already passed their details to the agency and asks for their email, which is where the listings will be sent. If they give it in their reply, it is added to the lead.

At the end, the visitor reads "Your enquiry has reached the agency · An advisor will contact you", with a reference. No timeframe is promised. If they left an email address, they also receive an acknowledgement with that reference.

One conversation produces one lead. Once the lead is delivered, and after that last reply if the email was missing, the conversation closes and Rosa does not continue. If the visitor reloads the page in the same tab within 24 hours of their last message, Rosa remembers the conversation and does not create another lead. Anything the client wants to add later is picked up by the agent on that same lead.

4. What the team sees in the CRM

The agency's administrators and managers receive an email alert about the new lead. In the CRM, Laura's record shows:

The agent can review everything before going further.

5. The agent decides

At the top of the record you see "Lead de Rosa · Pendiente de aceptar" (Rosa lead · pending acceptance), with two buttons: Aceptar (Accept) and Rechazar (Reject). The decision belongs to a person on your team, not to Rosa. These CRM labels currently appear in Spanish.

An accepted lead can be returned within the following 7 days, for one of three reasons: the details are false, it is a duplicate, or it is outside your area.

In the video, the agent accepts Laura's lead.
